1. Office Administration
- Ensure delivery of high-quality office administration including office activities, maintenance, cleaning, etc.
- Ensure effective implementation of office administrative systems, policies, and procedures.
- Supervising office cleaning staff and dividing responsibilities to ensure performance.
- Assisting in scheduling and organizing meetings, conferences, interviews, orientations, and training sessions.
- Track stocks of office supplies and place orders when necessary.
- Create and update relevant records and databases.
- Organize a filing system for important and confidential company documents.
- Submit timely reports and prepare presentations/proposals as assigned.
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Arrange travel and accommodations.
- Assisting Accounts in bank deposits and payment.
- Assist Branch colleagues whenever necessary.
2. Procurement & Store Management
- Ensure timely purchase of equipment, material and supplies required by the Branch/Facility to maintain necessary stock.
- Ensure all equipment is working and properly maintained.
- Ensure effective implementation of the company's procurement policies and procedures.
- Negotiating, comparing and recommending for cost-effective procurement.
- Managing inventories and record of material usage.
- Maintaining accurate purchase and pricing records.
- Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
- Maintaining good supplier relations and negotiating contracts.
- Researching and evaluating prospective suppliers.
- Preparing periodic reports and cost analysis.
3. Staff Attendance
- Keep proper record of staff daily attendance i.e., IN and OUT time.
- Maintain job attendance record and calculate overtime as per policy.
- Assisting HR in effective implementation of the policies and procedures.
- Maintaining staff personnel files and relevant records.
- Assisting in trainings and other events arrangements.
JOB SPECIFICATION
- Graduate.
- 1-3 years of relevant work experience in a reputed organization
- Excellent written and verbal communication skills.
- Effective collaboration and people management skills
- Strong organizational and time management skills.
- Hands on experience with SAP B1.
- Hands on experience with MS Office.
