- Screen New Patient Inquiries, call back, text, email, and create charts for accepted new patients within 1 business day.
- Creating patient portal accounts in Valant and assisting patients in setup or troubleshooting.
- Sending and tracking new patient paperwork through Valant
- Ensure insurance benefits are verified for every patient on the schedule daily.
- Respond to any client inquiry (phone, email, text) within 4 business hours received through SPRUCE and monitoring general office email
- Check incoming faxes and send faxes as requested within 4 business hours of receipt through SPRUCE
- Initiating and managing Prior Authorization through CoverMyMeds within 4 business hours of receipt
- Determining if medication refill is appropriate and pending Rx request for provider - Respond to patient refill requests the same day.
- Submit claims utilizing Valant EHR/Change Healthcare within 1 business day of Date of Service
- Post payment from ERA and run payment from client within 1 business day of receipt of EOB.
- Prepare patient charts for the next day as advised
- Managing and assisting in care coordination referrals and meetings with other provider and facilities
- Assist with scheduling and updating the Pacific Northwest Psychiatry Associates LLC provider calendar as needed with changes.
- Sending patient letter via email and SPRUCE
- Closing charts when care is terminated
- Requesting medical records and sending medical records
- Collecting vital signs via SPRUCE and posting to the patient’s chart. Alerting provider to abnormal values.
- Calling all missed appointment patient’s within 1 business day of the missed appointment and rescheduling the patient.
- Faxing lab requests and following up on lab orders. Posting lab results to chart and alerting providers to abnormal values.
- Various other administrative duties as assigned.
- Ensure HIPAA compliance with all patient data, including but not limited to ensuring work laptop/desktop is password protected and stored in a locked environment at all times.
