Position Overview:
The Executive Secretary will provide high-level administrative and executive support to the Director of HR, Administration, and Legal. This role requires a proactive and highly organized individual capable of handling sensitive and confidential information with discretion. The ideal candidate will demonstrate strong communication skills, attention to detail, and the ability to manage multiple priorities efficiently in a dynamic, fast-paced environment.
Key Responsibilities:
Executive Support:
Manage and maintain the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents as required.
Screen and prioritize incoming communications (emails, phone calls, mail) and respond or redirect as appropriate.
Coordinate and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.
Administrative Duties:
Organize and maintain confidential files and records, ensuring easy retrieval and secure storage.
Handle expense reports, procurement requests, and other routine administrative tasks.
Liaise with internal departments and external stakeholders on behalf of the Director.
HR & Administration Coordination:
Assist in coordinating departmental initiatives, projects, and reports.
Follow up on pending HR and administrative matters and ensure deadlines are met.
Support internal communications, employee engagement initiatives, and policy roll-outs.
Legal Function Support:
Maintain legal documents, agreements, and contract logs.
Coordinate with legal counsel and regulatory bodies as directed.
Track deadlines for legal compliance, filings, and submissions.
Ensure confidential handling of legal documents and sensitive information.

Pay: Rs140,000.00 - Rs150,000.00 per month
