Job Purpose:
We are looking for a highly organized and detail-oriented Operations Executive to join our back-office team in Pakistan. This role will serve as a vital support function to assist our Dubai-based Sales and Operations teams, ensuring smooth coordination across documentation, order processing, customer communications, and internal reporting.
You will work behind the scenes to keep our sales pipeline flowing, orders accurate, and customers updated, allowing our frontline teams to focus on revenue generation while you ensure seamless execution.
Duties and Responsibilities:
- Order Processing & Documentation:
- Review Work Orders (WOs) and ensure complete, accurate data entry.
- Verify customer details, product specifications, and shipping documentation.
- Prepare and track export/import documentation.
- Sales Coordination:
- Support the Sales Team by managing customer inquiries and coordinating internally for order status updates.
- Proactively follow up with internal teams (Logistics, QC, Warehouse) to ensure timely order processing.
- Customer Communication (Back-End):
- Assist in customer follow-ups (email coordination) to ensure documentation, payments, and information are received in time for smooth dispatch.
- Provide timely updates to the Sales Team for customer communication.
- Internal Reporting & Data Management:
- Maintain up-to-date sales records, shipment trackers, and documentation archives.
- Generate regular reports for management on order status, shipment timelines, and bottlenecks.
- Issue Escalation & Resolution Support:
- Flag any discrepancies, process gaps, or delays to the Operations Manager promptly.
- Work closely with the Dubai team to resolve issues before they impact customers.
Skills required:
- 1-3 years of experience in Sales Support, Operations, Documentation, or Customer Coordination roles.
- Strong attention to detail, accuracy, and data management skills.
- Excellent written and verbal communication skills in English.
- Ability to manage multiple tasks and meet tight deadlines.
- Proficient in MS Office (Excel, Word) and experience with ERP/CRM systems is a plus.
- Prior experience in logistics, export documentation, or vehicle industry support functions is an advantage, but not mandatory.
Position Qualifications
- Bachelor's Degree (Business Administration, Supply Chain, Commerce or relevant field preferred).
