To support the successful transformation of the business in becoming a world-class sourcing organization by maintaining strong business relationships and executing business strategies at the operational level through core sourcing competencies. This role provides administrative support to the global Quality Assurance team and partner with internal and external counterparts in ensuring a smooth daily operation.
Responsibilities:
Key Accountabilities:
- To support the execution of business strategies relating to the Company’s transformation initiatives
- Provide written and verbal communication with internal and external counterparts, including cross-functional teams, overseas offices, vendor, factories and suppliers
- Provide support in administrative tasks and ad-hoc assignment/project as required
Quality Assurance
- Provide administrative and clerical support to the Quality Assurance team across the globe.
- Maintain appropriate filing/data storage systems to ensure all electronic and hard copy Quality-related documentation is organized efficiently and can be accessed quickly/easily when needed
- Assist the Business Support Specialist to develop documents and reports as needed
- Coordinate travel, visa arrangements/expense reimbursement for Regional Director/QA leaders as needed
- Coordinate QA kit, working tools and stationary for the teams
- Cooridentae with HR, Admin and Client Services team to support the new hire onboarding process as needed, to ensure new joiners receive all company equipment, business cards, and company systems/logins in a timely manner (includes QA inspection kits)
- Consolidate and submit travel forecasts & budget plans for the team (monthly and annually as requested by Finance)
- Code and process Quality-related invoices in line with company requirements (this includes managing ITS inspection invoices and vendor chargebacks)
- Coordinate the external QA counterparts and internal QA team inspection process and schedule each month
- Maintain and follow-up on the Factory Assessment Tracker, vendor/ factory production & inspection schedules, CAP summary and Risk Management etc.
- Administer the vendor scorecard database
- Administer and maintain DC & BV database for analysis and CAP follow up
- Assist the Business Support Specialist to maintain and update QA manuals and SOPs
- Organize seminars and events for the team as needed
- Handle vendor purchases (eg: neck gauge and floats ruler, etc.)
- Collaborate with global QA leaders/cross-functional teams for ad-hoc projects and duties as directed by the Business Support Specialist
Education and Experience:
- 2 years of relevant experience in office administration in the quality assurance/merchandising/garment field
- Solid understanding of quality assurance programs and protocols
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Outlook)
- Good command of both verbal and written English skills
- Possess a strong attention to detail and time management
