Job Overview
We are seeking a highly organised and motivated Assistant to join our team. The ideal candidate will possess strong administrative and clerical skills, with a keen attention to detail and the ability to manage multiple tasks efficiently. This role is essential in supporting daily operations and ensuring smooth communication within the office environment.
Responsibilities
- Provide comprehensive administrative support to the team, including managing schedules and coordinating meetings.
- Handle incoming phone calls with professionalism and excellent phone etiquette, ensuring all inquiries are addressed promptly.
- Maintain accurate records and perform data entry tasks using various software applications, including Spreadsheet and Google Suite.
- Assist in the preparation of reports, presentations, and other documents as required.
- Support the team with clerical duties such as filing, photocopying, and scanning documents and other tasks assigned by management.
- Collaborate with colleagues to streamline processes and improve overall office efficiency.
- Draft, proofread, and edit emails, reports, and other communications on behalf of the CEO.
- Plan and coordinate internal and external meetings, including board meetings and executive sessions.
- Record, distribute, and follow up on meeting minutes and action points.
- Assist in approaching and following up with brands to obtain selling approvals and partnerships.
- Maintain a database of ongoing brand communications, approvals, and status updates.
- Track and follow up on purchase orders, delivery schedules, and supplier invoices.
- Coordinate with warehouses or fulfillment partners to ensure accurate stock levels and timely deliveries.
- Help with the preparation of budgets, forecasts, and financial summaries for CEO review.
- Track expenses, process invoices, and support in preparing reports for cash flow and profitability.
- Support Management in overseeing key projects (e.g., new brand onboarding, platform launches).
Requirements
- Proven experience in an administrative or clerical role is preferred.
- Proficiency in computerised systems, particularly Google Suite applications (Docs, Sheets, Drive).
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent verbal and written communication skills.
- A proactive attitude with a willingness to learn and adapt in a dynamic environment.
- Attention to detail is crucial for maintaining accuracy in all tasks undertaken.
- Strong organizational and multitasking abilities in a fast-moving e-commerce environment.
- Excellent communication and interpersonal skills.
- Financial awareness and ability to work with budgets, invoices, and reports.
- Proficiency with productivity tools (Google Workspace / MS Office / inventory and finance systems).
- Proactive, detail-oriented, and able to work independently when required.

The salary for this role is fixed and will be increased only after 06 months, subject to performance. This is Fix term Contract for 06 months likely to be extended.
