An organized and resourceful Administrative Assistant is needed to join our team, bringing proactive support to our daily operations. The ideal candidate excels in managing tasks, coordinating team activities, and communicating effectively with clients. This role demands a versatile individual capable of handling a variety of administrative and content-related responsibilities, including some availability after hours to ensure smooth workflows.
Key Responsibilities:
- Client Relations: Act as the primary liaison for clients, ensuring timely and professional communication on project updates and needs.
- Social Media & Content Creation: Develop and manage engaging social media content, including reels, posts, and written content, based on current needs.
- Remote Assistance: Provide support outside regular hours to address urgent tasks and maintain continuity.
- Team Support & Coordination: Collaborate with team members to streamline workflows and improve productivity on various projects.
- Service Promotion: Reach out to prospective clients to present and promote our services effectively.
- Workshop Facilitation: Organize and lead strategy workshops, working with clients and team members to develop targeted strategies.
- Proposal Development: Write and refine proposals tailored to client needs, effectively communicating value propositions and strategic goals.
- Meeting Management: Schedule, coordinate, attend, and organize meetings for internal teams and client interactions.
- Task Tracking: Monitor and prioritize daily tasks to ensure timely and smooth execution of responsibilities.
- Recruitment & Onboarding Support: Assist with hiring efforts by managing documentation and facilitating onboarding and orientation for new team members.
- Assistance to CEO: Aid the CEO in strategy development, brainstorming ideas, and ensuring the efficient execution of team, client, and office initiatives.
Requirements:
- Previous experience in an administrative or office support role is a plus.
- Familiarity with office software (Microsoft Office Suite, Google Workspace, etc.)
- Excellent organizational skills with the ability to manage multiple tasks efficiently.
- Strong attention to detail and ability to prioritize tasks effectively.
- Ability to handle unexpected issues or challenges that arise, finding quick and effective solutions.
- Flexibility and adaptability to changing tasks or priorities.
